Writing quotes as a tradesperson: mandatory details, structure and checklist

When you write a quote as a tradesperson, you first need clear services with quantity, unit and price per line item. Then you check company details, quote number, date, validity, tax details and the totals before the quote goes to the customer.

Writing quotes as a tradesperson

A good quote is not running text. It is an ordered commitment to which services you offer, in what quantity, by which unit and at what price per line item.

For trade businesses, traceability counts most. Customers must be able to see what is being offered. Your business must be able to see later which prices, quantities and assumptions the quote was based on.

So work line item by line item. A line item should not just name a service but describe it so that scope, quantity, unit and price fit together.

The structure should always be the same. That saves time, prevents gaps and makes quotes comparable.

Writing quotes as a tradesperson: wording line items properly

The line item is the core of the quote. It should not consist of a single keyword. A short, matter-of-fact description of the service with quantity, unit and price is better.

For example, do not just write down the name of the work. Add what exactly is carried out, which quantity is meant and which unit the price refers to.

It also matters that missing prices are not guessed. If a price is not yet fixed, the line item should not be filled with a stand-in value just so the quote looks complete.

The quote should be checked before sending. Mistakes arise most often where details are skipped out of habit: quote number, validity period, tax details or the separate presentation of net, VAT and total.

Use a fixed check routine:

  • full company name with legal form entered
  • business address entered
  • tax number or VAT ID entered
  • quote number entered
  • date entered
  • validity period entered
  • every line item given a description of the service
  • quantity per line item entered
  • unit per line item entered
  • price per line item entered
  • net, VAT and total shown separately
  • for small businesses under § 19 UStG, no VAT shown and the statutory note entered
  • for trades requiring registration under Annex A of the German Crafts Code, the responsible Chamber of Crafts added

This check is not optional polish. It decides whether the quote is complete and cleanly readable.

Writing quotes as a tradesperson: avoiding typical mistakes

A common mistake is a description of the service that is too brief. If it is unclear later which work exactly was meant, unnecessary clarification follows.

Another mistake is inconsistent pricing logic. If one line is by area, one by piece and one as a fixed price, the description has to be especially clean. Otherwise the quote is hard to compare.

Missing details in the totals are critical too. Net, VAT and total should be shown separately unless a small-business case under § 19 UStG applies.

Writing quotes as a tradesperson: the routine on site

Many quotes are written straight after the site visit. That is when the details are still fresh: measurements, condition, material wishes, extra jobs and open points.

So note the services down as soon as possible. What matters is not the form of the first note but that clear line items come out of it later. In the end every line item needs quantity, unit and price.

If a price is taken from earlier quotes, its origin should stay traceable internally. That way you can check later why a particular price was applied.
